ESSENTIAL JOB RESPONSIBILITIES


In this administrative role, you will be the first impression of our New York Office. We will rely on you to assist investment teams, client services and marketing with general administrative and clerical tasks by performing the following duties:
  • Coordinate certain administrative activities between the New York and Houston offices
  • Assist marketing when needed for production of marketing materials and mailings
  • Assist in preparation of RFPs, client and consultant questionnaires
  • Provide confidential handling of business and personal affairs
  • File, fax, copy and generate correspondence
  • Maintain office records/files, including electronic files
  • Assist with travel arrangements and itineraries
  • Prepare expense reports
  • Calendar the scheduling of appointments/meetings
  • Provide telephone coverage
  • Greet visitors and handle general inquiries
  • Handle incoming and outgoing mail and deliveries
  • Prepare purchase orders to restock office and break room supplies

Qualifications:

  • Proficiency with Microsoft Office – Word, PowerPoint and Outlook; Excel a plus
  • Internet savvy; travel research experience a plus
  • Ability to type 40+ WPM
  • Good communication and interpersonal skills
  • Ability to multi-task with strong organizational skills
  • Polished/professional appearance
  • Pleasant and outgoing personality
  • Ability to learn other software and increase competencies and skills
